Paper answer sheets

Give a multiple-choice assessment on paper and still get every grade into Yoshuko without typing a mark. You print a standard bubble sheet, learners fill it in with a pencil, and you scan the sheets with a camera. Each sheet is read, graded and recorded as an attempt in a second or two.

Before you start

  • You need to be a creator on the course.
  • The assessment must be saved and must contain multiple-choice questions with no more than five options (A–E). Questions of other kinds are left off the sheet for you to mark by hand.
  • For named sheets, learners must be enrolled. See Enrol learners and cohorts.

Open Print answer sheets… from any of three places:

  • Curriculum — the ⋮ menu on an assessment.
  • Gradebook — the ⋮ menu at the top of an assessment's column.
  • The assessment editor — beside Preview as Learner. It prints the saved assessment, so save your changes first.

Then choose:

Choice Options
How is the quiz identified? QR code, printed for you, or Creator ID and Quiz ID bubbles — both ten-digit numbers are printed and pre-filled on the sheet. Use the bubbles if your camera has trouble with QR codes.
How is the student identified? One named sheet per learner, with a QR code — one page per enrolled learner, with their name printed. Or One sheet to photocopy — students bubble their Student ID.
Number of answers 10 to 100, in tens. Sizes shorter than the assessment are not offered, and each says why.

Press Download PDF. A class of up to 30 sheets downloads at once; a larger set is prepared in the background — keep the dialog open, it downloads when ready (a minute or so for a few hundred sheets) and stays available for 24 hours. Print it at 100% (actual size) on US Letter paper — a sheet printed "fit to page" still scans, but four corner squares must stay on the page.

Changing the quiz after printing

Sheets remember the questions as they were when printed. If you edit the assessment afterwards, scanned sheets are still graded against the printed questions, and the result says the quiz has changed since printing. A question you delete after printing is not graded, and the result names it.

Question numbers

Each question can carry an optional Number in the assessment editor (for example 3a). It is not printed — rows on the sheet are numbered in order — but scan results use it when they name a question. Questions keep their identity when you reorder or edit them, so printed sheets stay gradable.

Student numbers

A photocopied sheet asks each learner to fill in their ten-digit Student ID. Every learner has one: open the course's Learners screen and read the Student no. column. Learners can also see theirs in the app, under Account settings → Student numbers.

To use your school's own ID instead, press the pencil beside a number, type the ID (1 to 10 digits) and press Save. A number that already belongs to another learner in your organisation is refused, and the refusal says so. Use the Yoshuko number switches back.

When you import a class list, a student ID column of 1 to 10 digits is used as each learner's Student ID automatically. Any that clash are listed in the import report.

Scan the sheets

  1. In the sidebar, under Assessment tools, choose Scan answer sheets. In the app, open Authoring and press Scan answer sheets.
  2. Choose a mode:
    • Single — press Scan sheet for each sheet.
    • Multi — the scanner keeps looking. Slide each sheet under the camera and hold it still for a moment; the next one can follow straight away. A sheet is captured once it holds still, and is not captured again while it stays under the camera.
  3. Press Start scanner and allow the camera.

Lay each sheet flat, in good light, with all four corner squares in view.

The queue

A captured sheet joins a queue. Sheets are sent to Yoshuko one at a time, and graded as soon as there is room — usually within seconds, but at a busy moment a class can take several minutes. Photos are made small on your device before they are sent, and are deleted from Yoshuko as soon as each sheet is graded. No sheet photo is kept.

The banner above the camera always says where your sheets are:

  • Don't leave this screen — some sheets are still only on this device (no connection, or Yoshuko is busy). They are kept even if the page reloads, and send by themselves. Leaving the page asks you first.
  • Queued for grading — every sheet has reached Yoshuko. You can leave; results appear in This session when you come back.

A sheet that could not be read stays in the queue with Send again and Discard.

Outline Meaning
Green Captured, or graded and recorded.
Amber Graded, but some marks need a look (a double mark, a faint mark), or this sheet was already recorded and nothing changed.
Red Not recorded. The reason is written below the camera — for example a learner who is not enrolled, or a sheet printed for another organisation.

The colour is always repeated in words below the camera, and every sheet appears in This session with its score.

No camera, or the camera is blocked? Use Upload a photo of a sheet instead. It is queued and graded the same way.

Corrections and attempts

  • A double-filled question is recorded as unanswered and named, so you can check it. Warnings name questions by the number printed on the sheet, which is the question's number in the assessment.
  • Scanning a learner's sheet again after changing it records a new attempt, and the outline is amber to show it replaced an earlier sheet. When the attempt limit has been reached, this is allowed only for a sheet from the same printed set as the one already recorded — a correction. A sheet from a different printing counts against the limit.
  • Scanning a sheet whose answers were already recorded for that learner changes nothing, even if a different reading was recorded in between.
  • A learner who has used every attempt online cannot be given another by paper: raise the attempt limit on the assessment first.
  • A sheet identified by your school's own student number is amber and names the learner it was recorded for. School numbers have no check digit, so one misread bubble could match a classmate; Yoshuko numbers have one and cannot.
  • If you edit an assessment and print photocopy sheets again, older sheets of that assessment are amber when scanned: a bubbled Quiz ID cannot tell the two printings apart.
